Choosing portfolio management software for a venture fund

Fund managers, family offices and operations leads · 6 min read · Updated 3 November 2026

Most funds start with spreadsheets, a CRM, a data room and email, and spend hours a quarter reconciling them. Portfolio software replaces that patchwork, but the options differ a lot. Here is a checklist for choosing.

The checklist

  • Portfolio: cheques, instruments, ownership, valuations with a stated basis, and exits.
  • Metrics: TVPI, DPI and IRR from dated cash flows, by fund and by company.
  • LP reporting: reports built from the same data, with a frozen record of what was sent.
  • Fundraising: an LP CRM with commitments by fund, if you are raising.
  • Deal flow: a pipeline with diligence and a record of passes.
  • Documents: an encrypted vault, e-signature and board materials.
  • Security: passkeys or SSO, per-firm data isolation and an audit log.
  • Import: how quickly you can get your existing portfolio in.
  • Price: per user, per fund or per company, and what the free tier includes.

Questions to ask in a demo

  • Can I see exactly what an LP saw in last year’s report?
  • How is IRR calculated, and can I see the cash flows behind it?
  • Who at the vendor can see our data?
  • How long does it take to load our current portfolio?
